January 2016 News Bites

  • Our 2016 retirement webinar series starts this month. If you’re interested in managing your investments, join us for Building a Portfolio for Any Weather on Wednesday, Jan. 27 at 11 a.m. Central time. In 60 minutes, Fidelity will help you determine an appropriate investment strategy, teach you how to apply a well-diversified strategy to our 401(k) plan and offer techniques for rebalancing your account. Afterward, you’ll be able to build a basic investment strategy, identify the risks of not being properly diversified and choose your investment options. Registration is limited to 300 people, so sign up now! (You have to log in to the Fidelity website to register.) Then, take a peek at the next few webinars.
  • Check your payroll deductions. It’s a good idea to review the health care deductions on your first paycheck in January. If something is inaccurate, call the Rockwell Automation Service Center at 877.OUR.RASC (1.877.687.7272).
  • Watch for your 2015 tax forms. Your 2015 W-2 will be available later this month. If you requested an electronic version, it will be on EmployeeConnect (under the “Your Pay” tab) by Jan 31. Otherwise, your W-2 will be mailed to your home address on Jan. 31 with delivery by Feb. 15. The other form you need this year, Form 1095-C, will be ready by Feb. 1, and will be delivered separately from your other tax forms.
  • If you had a Health Savings Account last year, remember that you need to include Form 8889 with your 2015 federal income tax return. 
  • Fidelity will mail 2015 year-end Retirement Savings Plan statements to your home address later this month. You can also request online statements at any time by visiting 401k.com and logging in to your account.
  • Get access to UnitedHealthcare’s tools and resources! If you’re enrolled in a Rockwell Automation medical option, be sure to register for the myuhc.com, download the Health4Me app (for Google and Apple products) and save the UHC number (844.234.7924) to your contacts. t includes access to the 24/7 nurse line. These three resources are your gateway to all the information, tools and resources UHC has to offer. Start exploring them today.
  • Enrolled in vision only? If you’re enrolled in the vision plan, but not a UHC medical plan, you can register on UHC’s vision portal at myuhcvision.com. To register, use the policy/group number 904936, last four digits of your Social Security number and date of birth as identifying information. Then enter your contact information and choose your user name, password and PIN. You can use UHC’s main number (1.844.234.7924) for vision questions or call the vision provider locator number for help finding local providers (1.800.839.3242). Participants enrolled in vision and medical can reach the vision portal from myuhc.com.
  • Take the Health Care Provider form to your annual physical. As your provider captures your weight, blood glucose, cholesterol and blood pressure, document it on the Health Care Provider form. Then submit the form to StayWell by Dec. 31 to complete your health screening and earn up to $250 off your 2017 medical premiums when you also take the Health Risk Questionnaire in the fall.

December 2015 News Bites

  • You should receive your new medical ID card(s) from UHC by the end of December. Employees who cover dependents will receive two cards in total. Be sure to replace your Aetna or Humana card with the UHC card when it arrives and give it to your providers the next time you go for a visit. If you don’t receive your UHC medical plan ID card this month or you need an additional copy for a family member, you can print a card online or use the mobile app to view, fax or email your ID card. Read UnitedHealthcare Medical and Vision ID Cards for more information.
  • No need for vision ID cards. UHC vision providers don’t require ID cards because providers can verify your coverage with your name and date of birth. However, if you or a family member would prefer to have one, read UnitedHealthcare Medical and Vision ID Cards for more information.
  • Last chance to earn up to $450 off your 2016 medical premiums. If you’re participating in the Health Management program, be sure to get your health screening, complete the Health Risk Questionnaire (HRQ) and/or finish your Take Action activity by Dec. 31. Look for information on what is new for the 2016 Health Management program early next year.
  • Want to receive your W-2 electronically? Visit EmployeeConnect no later than Jan. 15. Click the “Your Pay” tab and go to “Taxes and Deductions” to consent to the electronic version. (If you have previously registered, you do not need to register again.)
  • UHC will take over administration of the Health Reimbursement Account (HRA). Humana PCA cards expire Dec. 31. Your current administrator, Aetna or Humana, will use your 2015 balance to pay any remaining claims for 2015. After 2015, your current administrator will send a report to UHC and transition your funds. Those funds will be available to you by the beginning of April.
    • Current Humana members who enroll in the HRA for 2016 won’t have a debit card next year. Instead, they’ll be reimbursed automatically for any medical claim balances. Humana HRA debit cards will not work after Dec. 31, 2015.
  • HealthEquity debit cards are valid for three years. If you received a debit card from HealthEquity in 2015, you should continue to use that card to pay for eligible expenses. If you are new to the Health Savings Account (HSA) option, you will receive your HSA debit card by the end of December.
  • The Rockwell Automation Service Center and the Rockwell Automation Service Center at Fidelity will be closed on Christmas (Dec. 25) and New Year’s Day (Jan. 1).

November 2015 News Bites

  • Mark your calendar for Dec. 31. 31 is the last day to complete the Health Management program (health screening, Take Action activity and Health Risk Questionnaire) via StayWell’s website. It is also the last day to incur expenses for 2015 Flexible Spending Accounts.
  • Need to complete your Numbers@Work health screening? If you are in Milwaukee/Mequon and enrolled in a Rockwell Automation medical option, you can complete your screening at Rockwell Automation Health Services (RAHS). Call the clinic (Milwaukee 414.382.2401 or Mequon 262.512.8138) to schedule your appointment today! If you’re not in Milwaukee/Mequon, you can complete your screening using the Health Care Provider Form.
  • 401(k) plan limits will stay the same for 2016. The IRS recently announced that 401(k) limits will not increase for 2016. Next year, you can continue to contribute up to $18,000 in either before-tax or Roth after-tax contributions, or a combination of both. If you’ll be age 50 or older in 2015, you can still save up to an additional $6,000 in catch-up contributions. To learn more or increase your contributions, visit 401k.com.

  • Annual Enrollment begins Oct. 24, 2015, and ends Nov. 15, 2015. Visit EmployeeConnect > Your Benefits Resources to make your elections. If you don’t make a change during Annual Enrollment, you will automatically be enrolled in the same medical plans you have today, but with UnitedHealthcare as your administrator.
  • Get the nitty-gritty benefits details. You’ll find helpful benefits information in your 2016 Annual Enrollment Guide, which will mail to your home in late October, and on the Quick Find. But if you want detailed information, visit Your Benefits Resources on EmployeeConnect to review Health Plan Comparison Charts. Summary Plan Descriptions for all our plans will be updated in early 2016.

  • Understand the retirement process and learn how to estimate your pension. If you’re eligible for the pension plan (hired before July 1, 2010), join us this month as Aon Hewitt walks you through the retirement process, including how to estimate your pension. A webinar and online demonstration will be held at 11 a.m. Central time on Wednesday, Sept. 30. Register now. After registering, you’ll receive a confirmation email with information about joining the training and the option to add the event to your calendar.
  • Fight the flu—for free! Flu shots are your best defense against the flu. Get a free one at an onsite screening or from your health care provider. The Rockwell Automation medical options cover flu shots at 100%.

  • Any carryover funds from your 2014 Health Care Flexible Spending Account (FSA) will be available this month. If you participated in a 2014 Health Care FSA and carried over any funds (up to $500), those funds will be available to you this month, after all the 2014 claims have been processed. Check your balance at EmployeeConnect > Your Benefits Resources. Keep in mind that your carryover funds can only be used for dental and vision expenses until you meet the medical deductible.

Click on Your Benefits Resources > Knowledge Center > Plan Information page under Legal Information.   • Use the Contacts tab on the Quick Find to know who to call with a benefit question. Contact numbers are listed by benefit topic—from Adoption Assistance to the Vision Plan. Any money in your account after this deadline will be forfeited with one exception: If you participated in a 2014 Health Care FSA last year, you can let up to $500 carry over into 2015.
  • A recent study of the diets of nearly 4.5 billion adults in 187 countries reveals that the U.S. diet is among the lowest-quality diets in the world due to the high consumption of unhealthy foods. But it doesn’t have to be that way. StayWell’s website offers great resources and tips for eating healthier, including how to do so on a budget, how to shop and meal plan, and how to get your children to eat healthier at any age.   • Download the updated mobile app for Hyatt Legal Plans! It is now easier than ever to view plan coverage, get case numbers, find Hyatt plan attorneys, call them directly from the app and pull up directions to their offices. The free app also includes new features such as videos, informative articles, a Legal Needs test and optional enrollment email reminders. Plan members and prospective plan members can download the app from Google Play or the iTunes store.

  • Make the pledge! In honor of America Saves Week (Feb. 23 – 28), pledge to save 1% more in the Retirement Savings Plan in 2015. Think 1% won’t make a difference? Think again. To increase your contributions by 1% (or more!), visit 401k.com.
  • If you schedule an annual physical this year, don’t forget to bring the Health Care Provider form. As your provider captures your weight, blood glucose, cholesterol and blood pressure, document it on the Health Care Provider form. Then submit the form to StayWell by Dec. 31, 2015. The completed form serves as your health screening and qualifies you to earn up to $250 off your 2016 medical premiums when you also take the Health Risk Questionnaire in the fall.
  • If you have a Health Savings Account (HSA), your Rockwell Automation Health Plan claims are automatically integrated on your HealthEquity portal. After your medical, dental and pharmacy plans pay their share of your claim, the balance is recorded on your HealthEquity portal. It’s your choice whether you use this information to pay the provider, reimburse yourself or save it to document a future HSA withdrawal. If you decide to use your HSA to reimburse the claim, it’s as easy as clicking a button. Visit healthequity.com/ed/hsalearn/ and select “Paying a Provider” from the Videos Playlist to learn how.
  • If you’re enrolled in the HSA option, you are required to report your HSA contributions and distributions to the IRS when you file your taxes. Here are documents you’ll likely need:
    • W-2 from Rockwell Automation. The company contribution and your payroll contributions, if any, are in Box 12.
    • IRS Form 5498-SA from JPMorgan Chase. All contributions made to your account are noted here. This includes contributions from both you and Rockwell Automation.
    • IRS Form 1099-SA from JPMorgan Chase. Your HSA distributions are noted here. If you didn’t take any distributions, you won’t receive this form.
    • Your income tax return form 1040. Complete your return to note HSA contributions (Rockwell Automation’s and yours) as well as any qualified distributions, contributions over the IRS limit or non-qualified distributions, if applicable.
    • Form 8889. This worksheet works with your 1040 to record year-to-date contributions and distributions from your HSA.
    • Form 5329. Use this form to report excess HSA contributions, if any.

  • Last chance to earn up to $450 off your 2015 medical premiums. If you’re participating in the Health Management Program, be sure to get your health screening, complete the Health Risk Questionnaire (HRQ) and/or finish your Take Action activity by Dec. 31.
  • In most cases, you’ll continue to use your current medical/prescription drug ID card in 2015. You’ll receive new ID cards in December only if you’ve switched medical plans, changed your covered dependents or changed your address. If you need a dental or vision ID card, you can print it from the MetLife website.
  • The deadline to incur expenses for your FSA is Dec. 31. If you have a Health Care FSA, up to $500 can roll over to 2015. Any other FSA funds not used by the end of the plan year will be forfeited. Keep in mind that March 31, 2015, is the deadline to submit your claims. In most cases, the only document you need to substantiate your Health Care FSA claim is the medical or dental EOB (Explanation of Benefits). To upload FSA claims digitally and keep track of your FSA funds, visit EmployeeConnect > Your Benefits Resources.
  • Studies show that women may not be investing aggressively enough, which can jeopardize their long-term savings.   • Annual Enrollment ends Nov. 16. See what’s new, review your 2015 Annual Enrollment Guide, and enroll if you want to make changes to your benefits or covered dependents, participate in a Flexible Spending Account (FSA) and/or begin your 2015 Health Savings Account (HSA) contributions in January.
  • HealthEquity will be the new Health Savings Account (HSA) vendor, starting Jan. 1, 2015. If you have a balance in your Aetna-JPMorgan Chase HSA, be sure to complete an HSA transfer form to move your account balance to HealthEquity. Otherwise, you’ll pay a $4 monthly fee to keep your account at Aetna-JPMorgan Chase. To learn more, read the frequently asked questions. (Note: If you don’t have a balance, you don’t need to do anything.)
  • Reminder: The deadline to incur expenses for your FSA is Dec. 31. (March 31, 2015, is the deadline to submit your claims.) FSA funds not used by the end of the plan year will not roll over. You will lose any funds still left in the account. (If you have a Health Care FSA, however, keep in mind that up to $500 can roll over to 2015.)

  • Considering the Pension Plan lump sum distribution option?The lump sum amount is based on interest rates and IRS mortality tables in effect at the time you choose to commence your Pension Plan benefit payment. The interest rates are tied to corporate bond interest rates and change on an annual basis. For each year, the Pension Plan uses the rate published by the IRS for the month of August in the preceding year. That means that the August 2013 interest rates are used for each month from January to December 2014; likewise, the August 2014 interest rates that will be published soon will be used for January to December 2015 benefit commencement dates. The Your Benefits Resources website will be updated toward the end of September so you can use the online tools to estimate your benefit in each optional form of payment based on various dates and assumptions.Need help with your Pension Plan estimates?   • Earn up to $450 off your 2015 medical premiums in three steps. Step 1: Complete two Take Action activities to earn $200 ($100 each).   • Looking for information about the Pension Plan lump sum distribution option and whether it’s available to you? There are several resources to help you:
  1. Search the Rockwell Automation Quick Find using the key words “Lump Sum Payment Option in Pension” for general information.
  2. Read the Pension Plan Summary Plan Description (SPD) available on Your Benefits Resources. Search for “How Benefits Are Paid—Pension Payment Options” to learn how the lump sum and other payment options are calculated.
  3. Log on to Your Benefits Resources and use the online tools to estimate your benefit based on various dates and assumptions and view the amounts from each form of payment.
  4. Call the Rockwell Automation Service Center at 1.877.687.7272 (8 a.m. to 4 p.m. Central time) and say “Pension” when prompted. You’ll be directed to the team of Retirement Specialists who can answer your questions.

  • Southeastern Wisconsin Humana HPN Network has been renewed for 2015. The Business Health Care Group (BHCG) and Humana recently announced an extension of the current Humana Preferred Network (HPN) through Dec. 31, 2015. If you live in Southeastern Wisconsin and you are currently covered by the Humana HRA option, the current network configuration of network providers will remain the same through 2015. The HPN continues to provide members with a broad choice of locations, hospitals and physicians. If you are unsure if you are in the Humana HRA option, visit EmployeeConnect > Your Benefits Resources to check your current coverage. If you are in the Aetna HSA option, this does not impact you. If you have questions about the Humana HPN, please call the BHCG Humana Customer Service directly at 1.866.424.2479. Humana representatives are in the best position to answer any network questions.
  • If you’ve finished your first Take Action activity—congratulations! You’ve taken a key step for your health! While you’re on a roll, why not start your second Take Action activity? You can complete the same activity a second time or try something new. Earn $100 each, up to $200 for Take Action activities, toward your 2015 medical premiums (if you take the health risk questionnaire this fall).   • If StayWell calls to say you’re eligible for a personalized health education program (health coaching), consider signing up. Working with a StayWell health coach can help you meet your health goals and qualifies as a Take Action activity. To learn more, visit ra.staywell.com.

Remember: After a qualified family status change, you can make appropriate benefit changes if you act within 31 calendar days.   • Don’t make a critical 401(k) mistake. All too often, people make a critical mistake when it comes to managing their 401(k) savings: They cash out prematurely. Recent data compiled by Fidelity notes that one in three 401(k) participants has cashed out of his or her plan when changing jobs, and employees might turn to their 401(k) savings for a loan or taxable hardship withdrawal.   • You can change your 401(k) contribution amount—or type—at any time. Simply log in to Fidelity’s NetBenefits® and look for the Quick Link to the Contribution Amount page. Your changes will take effect in one or two pay periods. If you’re not sure how much to save, visit the Tools page and try the Take Home Pay Calculator and Contribution Calculator, or explore the Annual Increase Program.   • Spring is the perfect time to participate in a Take Action activity! Spring’s longer days and warmer weather are perfect excuses to get outside and get moving for the Step It Up Challenge. And spring’s in-season vegetables—everything from artichokes to watercress—make Time Out For Health a tasty challenge. To sign up, simply log on to ra.staywell.com and choose an activity on the To Do list. (Keep in mind: You can only count the steps you take and/or vegetables you eat after you sign up.)
  • Manage your overall wellness with the Employee Assistance Program (EAP). We all need a little help here and there—with keeping our work/life balance, making time to exercise, managing stress, finding childcare, dealing with teenagers and more. Next time you need a hand, let the EAP help. Representatives can provide counseling or steer you to the appropriate resources.   • Limited HRA funds will be available this month. If you switched from the Health Reimbursement Account (HRA) option to the Health Savings Account (HSA) option during Annual Enrollment, any unused money in your HRA will be converted to a Limited HRA this month. Watch for the link on the Aetna Navigator secure website.
  • Any carryover funds from your 2013 Health Care FSA will be available this month. If you participated in a 2013 Health Care FSA and carried over any funds, those funds will be available to you this month, after all the 2013 claims have been processed. Check your balance at EmployeeConnect > Your Benefits Resources. Keep in mind that your carryover funds can only be used for dental and vision expenses until you meet the medical deductible.
  • Your personalized Retirement Evaluation is on the way! Curious about whether you’ve made smart decisions for your 401(k) account? Looking for ways to do better? Your personalized Retirement Evaluation may be able to show you how. You’ll receive it in the mail next month unless you are already enrolled in Financial Engines’ Professional Management program or have opted out of the mailings.
  • Fidelity’s NetBenefits® is getting an upgrade! Starting April 29, it will be even easier to see your 401(k) contributions, account balance, investments and rate of return. The redesigned site will also feature valuable tips to help you make the most of your benefits. Log on to see what’s new. And don’t forget to visit the NetBenefits® Library for videos, podcasts and more about common retirement and financial topics.
  • The 2013 Annual Funding Notice for the Rockwell Automation Pension Plan is now available. You don’t need to do anything. This Defined Benefit Plan Annual Funding Notice is required by the U.S. Department of Labor as part of the Pension Protection Act of 2006. A copy is also available at EmployeeConnect on the Your Benefits tab. Click on Your Benefits Resources > Knowledge Center > Plan Information page under Legal Information. For more information about the Rockwell Automation Pension Plan, contact the Rockwell Automation Service Center through EmployeeConnect or call 1.877.OUR.RASC (1.877.687.7272).
